Terms of Service

These Terms of Service ("Terms") govern your access to and use of the RecDesk AI platform ("Service") operated by RecDesk ("RecDesk," "we," "us," or "our"). Please read these Terms carefully before using the Service.


1. Acceptance of Terms

By creating an account or using RecDesk, you agree to be bound by these Terms, our Privacy Policy, and any additional terms applicable to specific features. If you are using the Service on behalf of a company or organization, you represent that you have the authority to bind that entity to these Terms.

If you do not agree to these Terms, you must not use the Service.


2. Service Description

RecDesk is a hiring intelligence platform that provides:

  • Email auto-capture: Automatic detection and import of job application emails with CV attachments from connected Gmail accounts.
  • Bulk CV upload: Manual upload of CV files (PDF, DOCX, DOC, PNG, JPG) for processing.
  • AI-powered parsing and scoring: Automated extraction of candidate data from CVs and scoring against job requirements.
  • Candidate management: Dashboard for viewing, filtering, sorting, and managing candidate profiles.
  • Email communication: Bulk email sending to candidates using customizable templates.
  • CSV export: Export candidate data in various formats including ATS-compatible formats.

3. Account Responsibilities

When you create an account, you agree to:

  • Provide accurate and complete registration information.
  • Maintain the security of your login credentials and not share them with unauthorized individuals.
  • Notify us immediately of any unauthorized access to your account.
  • Be responsible for all activities that occur under your account.
  • Ensure that all team members added to your company account comply with these Terms.

Account roles include Admin, Recruiter, and Viewer. The Admin is responsible for managing team access and permissions.


4. Subscriptions & Billing

Free Trial

New accounts receive a 14-day free trial with limited usage (50 CVs, 100 AI calls, 50 emails, 3 team members). No credit card is required to start a trial. When the trial expires, you must subscribe to a paid plan to continue using the Service.

Paid Plans

Paid subscriptions are billed monthly or annually through Stripe. Prices are listed in USD on our pricing page. Each plan has defined usage limits (CVs processed, AI calls, emails sent, team members). When you exceed a limit, the corresponding feature is temporarily restricted until the next billing cycle or an upgrade.

Cancellation & Refunds

You may cancel your subscription at any time through the Stripe Customer Portal (accessible from Settings > Billing). Upon cancellation, your subscription remains active until the end of the current billing period. We offer a full refund within the first 14 days of a paid subscription. After that period, no refunds are provided for partial months.

Plan Changes

You can upgrade or downgrade your plan at any time. Upgrades take effect immediately with prorated billing. Downgrades take effect at the start of the next billing cycle.


5. Acceptable Use

You agree not to use RecDesk to:

  • Upload, process, or store content that is illegal, harmful, defamatory, or violates the rights of others.
  • Send spam, phishing, or other unsolicited communications through the email sending features.
  • Attempt to gain unauthorized access to other accounts, systems, or networks connected to the Service.
  • Reverse engineer, decompile, or attempt to extract the source code of the Service.
  • Use the Service in any way that violates applicable employment or data protection laws.
  • Circumvent or attempt to circumvent usage limits, rate limits, or security measures.
  • Use automated means (bots, scrapers) to access the Service beyond the provided API.

We reserve the right to suspend or terminate accounts that violate these rules.


6. Data Ownership

Your data is yours. You retain full ownership of all candidate data, CV files, job postings, and any other content you upload or create through RecDesk.

By using the Service, you grant RecDesk a limited, non-exclusive license to process your data solely for the purpose of providing the Service (parsing CVs, scoring candidates, sending emails on your behalf, etc.). This license terminates when you delete your data or close your account.

We do not claim ownership over your content. We do not use your candidate data to train AI models. We do not share your data with other RecDesk customers.


7. Intellectual Property

The RecDesk platform, including its software, design, branding, logos, documentation, and all related materials, is the intellectual property of RecDesk and is protected by applicable copyright and trademark laws.

Your subscription grants you a limited, non-exclusive, non-transferable right to access and use the Service for your internal business purposes. This license does not include the right to sublicense, resell, or redistribute the Service.


8. Email Integration

When you connect a Gmail account to RecDesk:

  • You authorize RecDesk to access your Gmail inbox to monitor for job application emails.
  • You confirm that you have the right to grant such access and that doing so does not violate your organization's policies.
  • You understand that RecDesk will read email metadata and attachments to identify job applications as described in our Privacy Policy.
  • You can revoke access at any time through the Settings page or through your Google Account permissions.

9. AI Processing

RecDesk uses artificial intelligence to parse CV content, score candidates against job requirements, classify emails, and generate recommendations. You acknowledge that:

  • AI-generated scores and recommendations are advisory tools, not final hiring decisions. You are responsible for all hiring decisions.
  • AI processing may produce inaccurate results. We recommend reviewing AI outputs before making decisions.
  • CV text content is sent to third-party AI providers (Groq or OpenAI) for processing. These providers process the data according to their own terms and do not use it to train their models.
  • You are responsible for ensuring that your use of AI-generated candidate evaluations complies with applicable employment and anti-discrimination laws.

10. Service Availability

We strive to maintain high availability of the Service, but we do not guarantee uninterrupted access. The Service may be temporarily unavailable due to:

  • Scheduled maintenance (we will provide advance notice when possible).
  • Unplanned outages due to infrastructure failures or third-party service disruptions.
  • Force majeure events beyond our reasonable control.

We are not liable for any loss or damage arising from service interruptions.


11. Limitation of Liability

To the maximum extent permitted by applicable law:

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.

RECDESK SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, DATA, OR BUSINESS OPPORTUNITIES, ARISING OUT OF OR RELATED TO YOUR USE OF THE SERVICE.

OUR TOTAL LIABILITY FOR ANY CLAIMS ARISING FROM YOUR USE OF THE SERVICE SHALL NOT EXCEED THE AMOUNT YOU PAID TO RECDESK IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM.


12. Termination

Either party may terminate the relationship:

  • By you: You may cancel your subscription and delete your account at any time.
  • By us: We may suspend or terminate your access if you violate these Terms, fail to pay subscription fees, or engage in activities that harm the Service or other users.

Upon termination, you may export your data within 30 days. After that period, we will delete your data in accordance with our data retention policy.


13. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the Arab Republic of Egypt. Any disputes arising from or related to these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of Cairo, Egypt.

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.


14. Changes to Terms

We reserve the right to update these Terms at any time. When we make material changes, we will notify you via email or by posting a notice on the Service at least 30 days before the changes take effect. Continued use of RecDesk after the effective date constitutes acceptance of the updated Terms. If you do not agree to the updated Terms, you should stop using the Service and cancel your subscription.
